Manufacturing Quotation Preparation: Structuring an Airtight RFQ

A procurement handbook for engineering buyers: preparing unambiguous 2D drawing callouts, nominating raw material grades, structuring tooling and unit costs as separate lines, and accelerating vendor turnaround.

1. The Anatomy of an Efficient Engineering RFQ

When an engineering RFQ arrives at an industrial manufacturer with missing raw material grades, uncalled tolerance standards, or ambiguous batch volume projections, quoting engineers are forced to make conservative assumptions. These safety cushions inevitably inflate quoted prices and lengthen quotation lead times.

2. Blueprint Callout Standards: Combining 3D Models with 2D Prints

A 3D solid model (STEP or IGES) defines nominal shape, but it does NOT convey engineering intent:

  • The 3D CAD File: Provides volume, toolpath geometry, and curved surfaces.
  • The 2D PDF Drawing: Specifies critical datum faces, bearing bore tolerances (e.g. Ø50 H7), thread pitches (e.g. M12 × 1.75), internal surface roughness (Ra), and critical heat treatment hardness (e.g. 45–50 HRC).
  • Uncalled Tolerances: Explicitly state a general tolerance standard in the title block (e.g. "Uncalled dimensions to ISO 2768-m"). This prevents machinists from treating a loose structural clearance like an expensive aerospace tolerance.

3. Material Nominations & Equivalents

Always specify the exact metallurgical standard rather than generic trade terms. Saying "iron" or "hard steel" introduces ambiguity:

  • Carbon Steel: Specify "EN8 / 080M40 / AISI 1040 Normalized" instead of "medium carbon steel".
  • Structural Steel: Specify "IS 2062 Grade E250 / ASTM A36" instead of "mild steel plate".
  • Tool Steel: Specify "P20 pre-hardened (28–32 HRC)" or "H13 / DIN 1.2344" for wear dies.
  • Polymer Moulds: Specify "100% Virgin Polypropylene Homopolymer MFI 10–12" for paver moulds to ensure repeatable demoulding elasticity.

4. Unbundling Capital Tooling from Recurring Piece Costs

When ordering custom moulds, diestock, or fabricated machinery, insist that quotations separate three fundamental numbers:

  1. Non-Recurring Engineering & Tooling (NRE): The one-time cost to design the CAD model, cut the CNC steel cavity die, and conduct initial trials.
  2. Recurring Batch / Piece Price: The actual per-unit manufacturing cost at specified batch tiers (e.g. 500 pcs vs 2,000 pcs).
  3. Lead Time to First Article: The exact date for sample inspection before full production run release.

Bundling tool and piece price obscures which variable you are paying for and makes volume scaling difficult to evaluate.
